Job Description

As the Project Coordinator is it is your responsibility to communicate with the team to ensure they are aware of any new developments in project status and deadlines, under the direction of the Department Manager.

Job Responsibilities

  • Attend client meetings and assist with determination of project requirements
  • Assist the PM in the drafting and issuance of project proposals, plans, RFPs and preliminary schedules, pulling permits, modifying schedules, etc.
  • Prepare project organization and communication charts
  • Chair site meetings and distribute minutes to all project team members
  • Track the progress and quality of work being performed by disciplines/trades
  • Use project scheduling (MS Project/Primavera P6) and other control tools to monitor projects plans, work hours, budgets and expenditures
  • Effectively and accurately communicate relevant project information to the client and project team
  • Ensure clients’ needs are met in a timely and cost effective manner
  • Review field inspection reports from Consultants throughout the lifecycle of the project
  • Issue Contracts, Letters of Intent, Purchase Orders, etc.
  • Maintain Contract Execution Tracking Log
  • Assist the PM and Estimator in the review of Contractor quotations to ensure that only fair and reasonable pricing is recommended for approval
  • Prepare substantial completion certificates and ensure all required project close out documents are obtained
  • Communicate ideas for improving company processes with a positive and constructive attitude, and for developing this attitude in others
  • Keep the Project Manager (PM), Department Manager and others informed about project status and issues that may impact client relations
  • Constantly monitor and report on progress of the project to all stakeholders
  • Identifying and quantifying cost factors, such as time, materials and expenses
  • Using computer software to prepare estimates and supporting documentation
  • Participate in proposal preparation for the private sector and client presentations
  • Provide administrative/clerical support to department (schedule meetings, follow up with clients, etc.)
  • Serves as a proactive customer service & quality ambassador of The Econolite Group, Inc. by representing the organization in a positive, professional manner to support The Brand Promise
  • Performs other duties as required and assigned

Job Requirements

  • Bachelor’s degree or equivalent experience
  • Proficiency in Microsoft Project, Primavera, Excel and Word
  • Traffic Signal and Transportation Systems experience is preferred but not mandatory
  • Previous administrative/clerical skills
  • Strong organizational skills
  • Effective oral and written communication skills
  • Collaborative, team player, able to wear many hats and juggle different priorities
  • High customer service orientation
  • Demonstrated interpersonal skills
