Job Description
The Restaurant Administrative Assistant will support the small office's
various departments, including CFO finance, HR projects, and the President's calendar.
The primary responsibilities of this role will be to manage administrative tasks, assist
different teams, and ensure the smooth functioning of daily operations. The
Administrative Assistant will be stationed in the front lobby, serving as the first point of
contact for customers, vendors, and applicants, creating a positive and welcoming
environment. The successful candidate will demonstrate strong teamwork skills to
collaborate effectively with various stakeholders.
Job Responsibilities
1. Phone Management: Answer and transfer phone calls while screening when
necessary to direct them to the appropriate contacts.
2. Gift Card Management: Assist company management with organizing and
handling gift cards.
3. Customer Incident Reporting: Process customer incident reports and coordinate
with the insurance department as needed.
4. Uniform Inventory: Maintain the inventory of uniforms, ensuring an adequate
supply is available for employees.
5. Visitor Welcoming: Greet and direct visitors and customers to create a welcoming
environment.
6. Document Preparation: Prepare, proofread, and distribute memos and other
written documents as required.
7. Filing and Record Maintenance: Maintain filing and record systems, including
email, minutes, and other related documents.
8. Administrative Inquiries: Respond to and resolve administrative inquiries and
questions from employees and other stakeholders.
9. Meeting and Appointment Coordination: Schedule and coordinate meetings,
appointments, travel arrangements, and other logistical tasks.
10. Office Supplies and Equipment: Manage office supplies and coordinate
equipment maintenance to ensure a well-equipped office.
11. Pantry Maintenance: Maintain the pantry area and stock pantry supplies.
12. Expense Recording: Implement a system for recording expenses and managing
petty cash usage.
13. Data Entry: Enter new employee information into the Point of Sales system.
14. Communication with Restaurants: Interface with restaurant locations to promptly
collect required reports and information.
15. Miscellaneous Duties: Perform other related duties and tasks as assigned by
management.
Job Requirements
The Restaurant Administrative Assistant position involves various physical demands,
and candidates should be able to meet these requirements to perform the job
effectively. Some of the physical requirements for the role include:
1. Prolonged periods of sitting at a desk and working on a computer: Administrative
tasks often involve working with computers, handling paperwork, and using office
equipment. The candidate should be comfortable sitting for extended periods
while performing these tasks.
2. Lifting: The ability to lift objects weighing up to 25 pounds is necessary. This
requirement may arise while handling office supplies, moving equipment, or
managing inventory, including uniforms or other items.
3. Mobility: The candidate should be able to move around the office or restaurant
setting comfortably. This mobility may involve walking to greet visitors or
customers at the front lobby, attending meetings in different areas of the
establishment, or accessing various departments within the office.
4. Dexterity: The role may involve handling paperwork, organizing files, and using
office equipment like computers, printers, and scanners. The candidate should have good hand-eye coordination and dexterity to perform these tasks
accurately.
Excellent verbal and written communication skills (Bilingual English/Spanish
preferred).
Associate's or Bachelor's degree in a related field preferred.
Proven experience (3-5 years) in an administrative role, preferably in a restaurant
or hospitality setting.
Strong organizational skills with a keen eye for detail.
Excellent interpersonal and customer service skills.
Proficient in Microsoft Office Suite, (preferably Toast & ISolved Software)
HR administrative experience is preferred.
